1. Who We Are

SoulMindCare (“we”, “us”, “our”) is an online therapy and counselling practice founded by Ms. Minna Mathew (M.Phil Clinical Psychology, RCI Registered). Our registered office is at 38/833, Elamana Road, North Fort Gate, Tripunithura – 682301, Kerala, India. We provide online psychological services to clients in India and internationally.

2. Information We Collect

Information you provide to us. When you submit an enquiry or booking request through our website forms, contact us on WhatsApp, email, or phone, or attend sessions, you may provide: your name, email address, phone number, the service or concern you are enquiring about, and any information you choose to share about your situation.

Clinical information. If you become a client, your therapist will maintain confidential clinical records as required by professional and ethical standards. Clinical records are handled with heightened confidentiality and are separate from website data.

Information collected automatically. Like most websites, our hosting and security infrastructure may automatically log technical data such as IP address, browser type, pages visited, and timestamps, used for security and site operation. 3. How We Use Your Information

We use your information to: respond to your enquiries and booking requests; schedule and deliver therapy services; send administrative communications about your appointments; maintain clinical records as professionally required; improve our website and services; and comply with legal and professional obligations. We do not sell your personal information, and we do not use your clinical information for marketing.

4. Confidentiality of Therapy

Everything you share in therapy is confidential and handled in line with the ethical standards applicable to RCI-registered clinical psychologists. Limited exceptions exist where disclosure is required by law or where there is serious risk of harm to you or others; your therapist will explain these limits before you begin therapy.

5. How Your Information Is Shared

We share information only with: (a) service providers who help us operate — our website hosting provider (Hostinger), content delivery and security services (Cloudflare), and our email delivery service (Brevo), each of which processes limited data on our behalf; (b) professionals within SoulMindCare on a need-to-know basis for your care; and (c) authorities where required by law. We do not share or sell your information to advertisers or data brokers.

6. International Clients and Data Transfers

Our services are accessible globally and our service providers may process data on servers located outside India. Where you access our services from outside India, you understand that your information will be processed in India and in the locations used by our service providers, with reasonable safeguards applied.

7. Data Retention

We retain enquiry information for as long as needed to respond and follow up, and clinical records for the periods required by applicable professional standards and law. You may request deletion of your enquiry data at any time (see Section 9).

8. Data Security

We take reasonable technical and organisational measures to protect your information, including encrypted connections (HTTPS), access controls, and secure video platforms for sessions. No method of transmission or storage is completely secure, but we work to protect your data proportionately to its sensitivity.

9. Your Rights

Subject to applicable law — including India’s Digital Personal Data Protection Act, 2023 and, where applicable, the GDPR for clients in the EU/UK — you may request access to, correction of, or deletion of your personal information, withdraw consent, or object to certain processing. To exercise these rights, email hello@soulmindcare.com. We will respond within a reasonable timeframe.

10. Children’s Information

Some of our services support children and adolescents. In such cases we collect and process a minor’s information only with the consent and involvement of a parent or legal guardian, and handle it with additional care.
